How to Foster a Safe Office Environment

Employers are responsible for the safety and well-being of all their employees. The workplace is where people spend a majority of their waking lives, and they should always feel safe and comfortable whenever they’re there. 

Not only is it a legal obligation for businesses to provide a safe office environment, but it’s extremely beneficial to the organization as well. When employees believe their workplace is inclusive and safe, they’re more likely to have better overall mental health and lower levels of stress — both of which lead to improved productivity. 

Since safety can mean different things to different people and in different situations, it’s important that business leaders know how to foster a safe office environment. 

Here are some ways to do that. 

Ensure Working Conditions Are Safe 

All employers have an obligation to provide working conditions that are safe. The Occupational Safety and Health Administration, better known as OSHA, holds oversight powers for most private companies in the U.S. 

There are many very specific guidelines that all companies must follow to provide a safe working environment. 

Generally speaking, businesses must take whatever steps necessary to prevent injuries and accidents at work. They’re required to provide protective equipment when necessary to certain employees, to adequately train their employees and to conduct risk assessments on a regular basis. 

Foster Inclusivity 

When many people hear the word “safety,” they immediately think of physical safety. But, the word can also refer to mental aspects, such as feeling safe to speak up, to feel valued, to feel like you won’t be retaliated or discriminated against and so much more. 

Employers today can provide workers with safety in this regard by creating an environment where all people feel welcome. By fostering an inclusive culture, people will feel comfortable being who they are — no matter what their gender, background, age, sexual orientation or any other demographic characteristic. 

This can be done by valuing and stressing diversity, by encouraging employees to openly communicate with their managers, by recognizing people’s differences and celebrating them for it, and by ensuring that all employees enjoy equal opportunities. 

Set Procedures and Policies 

It’s one thing to talk about ideal working conditions, and it’s another altogether to actually put action in place to create it.  

By setting procedures and policies that ensure safety, promote inclusion and more, you’ll be helping to guide the narrative from the top down. Having set policies in place will also provide employees with steps they can follow should they encounter bullying, harassment, discrimination or anything else. 

Part of your procedures should include not just descriptions of what employees can and can’t do, but how they should report incidents if they happen. There should also be standards in place for how complaints are investigated promptly. 

Open the Lines of Communication 

Communication is one of the keys to success in just about everything in business, including fostering a safe office environment. All companies need to ensure that the lines of communication are open, from the very top of the organizational chart to the bottom, and that those lines are open both ways 

Employees shouldn’t feel afraid to speak up if they feel unsafe or uncomfortable. Quite the contrary, they should be encouraged to speak up if anything like that ever happens. 

Business leaders can begin to make employees feel comfortable in such situations by encouraging communication and feedback on all aspects of the business. For instance, have an open-door policy where employees can approach their managers at any time with ideas they might have about how to improve a process, a product, an offering or anything else. 

Don’t just hold traditional annual employee reviews. Have leaders welcome employees into their office on a regular basis for relatively informal chats about how things are going and what could be going better. 

When leaders encourage this open communication for what might amount to relatively minor things — such as what type of coffee should be provided in the break room — employees begin to feel more comfortable opening up about more serious topics. 

In the end, this leads to the open and effective communication that promotes a safe office environment, and drives business success.
